Natural Voice email instructions

The NVN offers its email service through the ISP, Gandi.  We hope these instructions help you get set up.

Gandi offer some generic instructions for setting up email programs to use their mailboxes:

You might also want to use Gandi’s “Roundcube” Webmail service to send and receive email: https://webmail.gandi.net.

Specific instructions for accessing your email with Gmail

First, log into Gmail.

If you use Google Inbox, you’ll need to click to go to classic Gmail, by clicking the Gmail link in the main menu to the left:

Once you’re in “classic” Gmail, you need to click the Settings icon, and then choose “Settings”:

Next, click the “Accounts” tab, then look at the area that says “Check mail from other accounts”.

Here, click “Add a mail account you own”, and you’ll be given a pop-up window.

In the pop-up window, titled, “Add a mail account you own”, add your email address, ending @naturalvoice.net, then click the the “Next Step »” button.  You’ll then be asked for some POP3 settings.  These relate to receiving email.  Here are the settings you need to enter:

  • Username: your full Natural Voice email address, for example, emily@naturalvoice.net
  • Password: the password for your account, which our administrator will have sent you.
  • POP Server: mail.gandi.net
  • Port: 995
  • Uncheck the box, “Leave a copy of retrieved message on the server.” (if you don’t uncheck this, your mailbox might fill up and stop accepting mail)
  • Check the box, “Always use a secure connection (SSL) when retrieving mail”
  • The other two boxes would normally be left un-ticked.  But you can tick them if you like.

When you’ve entered this information, click the “Add Account »” button.

If all goes well, there will be no error messages, and you’ll be given the option to send mail from your new address.  So keep the option, “Yes, I want to be able to send mail as [your-name]@naturalvoice.net” ticked, and click the “Next Step »” button.

In the following window, change your “Name:” if you want to, but leave all other options as they are and click the “Next Step »” button.

You’ll then be asked for your SMTP settings.  These relate to sending email.  Here are the settings you need to enter:

  • SMTP Server: mail.gandi.net
  • Port: 587
  • Username: your full Natural Voice email address, for example, emily@naturalvoice.net
  • Password: the password for your account, which our administrator will have sent you.
  • The option for a “Secured connection using TLS (recommended)” should be left checked.

With all these settings in place, click the “Next Step »” button.

In the final window, you’ll be asked to input a verification code or click a link in an email.  The easiest option here is to click the “Close window” link.

Then, if you wait a few minutes, you’ll receive an email from Google with a very long confirmation link.  It’ll look a bit like this:

When you click on your confirmation link, you’ll be taken to a new window and asked to click the “Confirm” button.  Do this, return to Gmail, and you should be all set up.

As a final step, if you’d like your Natural Voice address to be the address you always email from, go back to your Settings, click the Accounts tab, and under “Send mail as:”, you’ll be able to click a link to choose your default address.
